How to manage restrictions

Restrictions are special rate settings that help you manage room sales. For example, restrictions can be used to offer guests discounts under certain booking conditions, or to block specific dates from sale in order to achieve optimal occupancy.

Where to view current restrictions

  • Go to the “Availability and rates” section.

  • Check the box labeled “Restrictions.”

Note: This will only display restrictions for the parent rates. If you are working with special offers, you will need to additionally check the “Special offers” box.

Important points to consider

  • Restrictions only apply to future bookings (they do not affect reservations made before the restrictions were set) and only to the rate where they are applied. For example, if restrictions are applied to the “Standard” rate, they will not affect associated special rates.

  • For existing special rates, restrictions cannot be configured within the rate itself — they must be set up in the “Availability and rates” section.

  • If you are using a channel manager, all restriction changes must be made through the channel manager. Any manual adjustments in the “Availability and rates” section will be automatically overwritten to match the channel manager’s settings.

  • Sale opening and closing times are calculated from 00:00 on the check-in day, not the check-in time.

  • You cannot set a restriction that closes sales during or after the check-out date

How different restrictions work

“Closed for check-in” restriction

If this restriction is set for a date, guests cannot check in on that day, but they can stay if they checked in before.

Example:

“Closed for check-in” is set for October 23, 2025.

A guest will not see rates for stays starting on October 23, but can book:

  • October 10 to October 25 (includes October 23, but it’s not the arrival date)

  • October 15 to October 23 (with departure on October 23)

When to use:

Use this if you know in advance that you cannot prepare rooms for check-in on a certain day (e.g., no linen delivery that day).

“Closed for check-out” restriction

If this restriction is set for a date, guests cannot check out that day, but can stay or check in.

Example:

“Closed for check-out” is set for November 13, 2025.

A guest will not see rates with check-out on November 13, but can book, for example:

  • November 10 to November 12

  • November 10 to November 14

  • November 13 to November 20

When to use:

This restriction helps avoid vacant rooms, for example, before a large group arrival.

Minimum/maximum length of stay on arrival

If a restriction is set for a specific date, guests can check in on that date for a minimum or maximum number of days. This restriction applies only to the check-in date and completely ignores other dates in the check-in restriction field.

Example:

  1. Arrival restrictions are:

  • October 1 — minimum 2 nights

  • October 2 — minimum 4 nights

  • October 3 — minimum 1 night

  • October 5 — minimum 7 nights

2. A guest searches for October 1 to October 8 — only the restriction for October 1 applies (minimum 2 nights). The guest can book October 1 to October 8 (since it is more than two nights).

If searching for October 1 to October 2 (one night), the rate will not be available.

When to use:

Such restrictions help achieve even occupancy during peak dates. For example, set minimum stay restrictions for early bookings for New Year, and relax them closer to the date to sell remaining rooms, preventing all rooms from being booked for just one night, from December 31 to January 1.

Minimum/maximum length of stay (total stay)

If a restriction is set for a specific date, any booking that includes that date must be for a minimum or maximum number of days as specified.

This restriction applies to the entire booking, not just the check-in date. The system analyzes all dates of stay and selects the restriction with the longest duration.

Example:

Stay length restrictions are:

  • October 1 — minimum 2 nights

  • October 2 — minimum 4 nights

  • October 3 — minimum 1 night

  • October 5 — minimum 7 nights

A guest is looking for accommodation from October 1 to October 8.

In this case, the system will select the maximum value — that is, 7 days — and check whether the entire search period meets this limit. The guest will be able to make a reservation from October 1 to October 8, since the length of stay is 7 days.

When to use:

Set these to encourage more profitable bookings (for example, 3+ nights), reduce the number of check-ins and check-outs, simplify operations, and lower costs.

Open sales N hours before check-in date

This means the rate becomes bookable only a specified number of hours before check-in. Before that time, the rate will not appear for guests.

Note: Timing is calculated from 00:00 on the check-in day.

Example:

Set to “Open sales 1 hour before check-in” for October 22.

The rate will appear on October 21 at 23:00.

When to use:

Activate last-minute discounted rates to fill remaining rooms.

Close sales N hours before check-in date

This means rates close for sale a set number of hours before check-in. After that, the rate will not appear for guests.

Note: Timing is calculated from 00:00 on the check-in day, not from check-in time or the start of the hotel stay.

Example:

Set to “Close sales 48 hours before check-in” for October 22. Rates close for sale on October 20 at 00:00.

When to use:

If you want to avoid no-shows without incurring penalties, you can disable sales of rates that require payment upon check-in. Conversely, if you want to receive payment upon check-in during certain periods (for example, to cover operating expenses), you can disable sales of rates that require online payment.

How to set restrictions

  1. Go to “Availability and rates” section.

  2. Check the “Restrictions” box at the top bar.

  3. At the top-right, select the date range for which you want to set restrictions.

  4. Continue working in the pop-up settings menu on the right side of the page.

  5. Specify the days of the week (if needed) when the restriction should apply.

  6. Select the room and rate to which the restriction will apply.

  7. Choose the restriction type(s) and set the values.

  8. Click “Save restrictions”.

Note: If your internet connection is unstable, restrictions may not be saved. Refresh the page and make sure restrictions are displayed in the table.

To set open/close sales by N hours before arrival directly in the rate settings:

  1. Go to “Rooms and rates.”

  2. Click the three dots next to the desired rate and select “Open rate”.

  3. Scroll to the “Rate restrictions” block.

  4. Move the toggle to the right.

  5. Specify the parameters, for example:

    • Open sales: 2 days and 12 hours before the check-in date

    • Close sales: 4 hours before the check-in date
