In this article, we explain how to start working with the most important section of the ETG Extranet — “Rates and availability.” From it, guests will see what offers are available on the Extranet ETG websites. Correctly filling out and timely updating this information will help avoid incidents with guests and maintain your property's reputation.
If you work with a channel manager, set up synchronization to fill in and update data on availability and prices (see more details in a separate article).
If the Extranet contains unique room types or rates not sold on other sites, or you do not work with a channel manager, data in the “Rates and availability” section must be filled in manually.
General Information
The “Rates and availability” section is presented as a table. Here, you can:
Specify current rates and the number of rooms open for booking on certain dates
Set restrictions
Close or open sales of specific rooms and/or rates
Configuring table details
By default, the table shows:
Availability of all rooms
Prices of basic rates for the maximum number of guests
You can customize the table display settings:
Show information only for specific rooms — select the ones you need in the upper-left part of the screen.
Show prices for different numbers of guests and special offers — check the boxes above the table.
For each room, the table shows:
Status: Green cell — open for booking; red cell — closed for booking
Availability: Number of rooms available for sale
Rate
Restrictions: Hover over the number to see current restrictions
Navigation
To scroll through dates, drag the slider at the bottom of the page to the right.
To scroll through the list of rooms, drag the slider up or down on the right side of the page.
Making changes
Select the dates you want to change. To do this, click on the column with the desired date or set a date range by clicking “Select period.”
When you select a date range, the table will automatically scroll to the selected date.
If you need to make changes for a specific day of the week within the range, this can be done in the side menu.
Note: The cells in the table are not editable — all changes are made through the side menu. Changes can only be made for future dates.
2. If necessary, adjust the dates selected earlier or mark specific days for changes.
If you want to make changes to several rates and/or numbers at once, select all the required options from the “Room categories” and/or “Rates” lists.
The table highlights the cells to which the changes will be applied.
3. In the side menu, make the required updates:
Open/close the room
Change the number of available rooms
Open/close the rate (changes will apply to the rate’s special offers)
Change the price (updating the main rate will automatically update prices for special offers)
Add restrictions (changes will also apply to the rate’s special offers)
4. Click “Save changes” — the data in the table will be updated.
Working with room statuses
In the “Rates and availability” tab, you can view and change the room status for specific dates. The status is displayed for each category in the “Room status” line:
Green cell — open for booking
Red cell — closed for booking
You can make changes for any date up to two years in advance. For example, if you are closing a room for repairs:
Click “Select period” and mark the desired dates — a side menu will open. If necessary, select multiple categories in the “Room categories” drop-down list.
Find the “Room status” item.
By default, this line shows the current status of the selected room for the selected dates. If the current values differ across the selected date range (e.g., the room is open for sale on some days and closed on others), the message “Different values” will appear.
Under the “Set general status” item, select the relevant status for all dates in the selected period.
4. Click “Save changes” — the data in the “Room status” line will be updated.
Working with room availability
The “Rates and availability” line shows the number of rooms open for booking on specific dates.
You can adjust the number of available rooms for a specific date or date range. For example:
Reduce availability if a booking was received from another resource.
Increase availability if a room becomes available.
To update:
Click “Select period” and mark the desired dates — a side menu will open. If necessary, select multiple categories in the “Room categories” drop-down list.
Find the “Rooms available” item.
By default, this line shows the current number of available rooms for the selected dates. If the values differ within the selected range (e.g., 10 rooms are available on some days and 11 on others), the message “Different values for some dates” will appear.
In the “General availability” field, enter the value applicable to all selected dates.
Click “Save changes” — the data in the “Rooms available” line will be updated.
Working with prices
The table shows the price at which a room can be booked on specific dates. By default, only the price of the basic rate for the maximum number of guests is shown.
To display additional details:
Check the “Special offers” box to see prices for special offers.
Check the “Prices per guests” box to see prices for different numbers of guests.
To change prices for specific dates or periods (e.g., increasing weekend rates):
Click “Select period” and mark the desired dates — a side menu will open. If necessary, select multiple rates in the “Rates” drop-down list.
Find the block with prices (under the rate status).
By default, prices for the selected dates are shown. If the values differ within the range (e.g., 250$ on some days and 200$ on others), the message “Different price values for some dates” will appear.
3. Enter new prices for the desired number of guests or set a single price for all guests.
Important: Prices are indicated before commission deductions. Special offer prices linked to the main rate will update automatically.
4. Click “Save changes” — the data in the rate lines will be updated.
Working with restrictions
The table displays the presence and number of restrictions for specific dates. For example, if a rate has restrictions on opening and closing sales for November 22, you will see the number 2 in the cell. Hover over the number to view the restriction details.
Types of restrictions
Restriction on arrival (“Closed on arrival”): Guests cannot book stays starting on this date.
Restriction on departure (“Closed on departure”): Guests cannot book stays ending on this date.
Minimum stay length: Minimum number of days on arrival
If the selected date is the check-in date, the guest must book for a minimum number of days as specified.Maximum stay length: Maximum number of days on arrival
If the selected date is the check-in date, the guest must book for a maximum number of days as specified.Minimum stay for overlap: Minimum number of days for the stay
If a guest is staying at the property on this day, they must book for at least the specified number of days.Maximum number of days for the stay: If a guest is staying at the property on this day, they can book for a maximum number of days as specified.
Opening sales N hours before check-in: Sales opening N hours before the arrival date.
Closing sales N hours before check-in: Sales closure N hours before the arrival date.
To set or remove restrictions for specific dates or date ranges:
Click “Select period” and mark the desired dates — a side menu will open. If necessary, select multiple rates in the “Rates” drop-down list.
Find the “Restrictions” item and toggle the switches to set or remove restrictions.
Click “Save changes” — updated restrictions will be reflected in the table.
FAQ
How to close a room for sale
To close a room for sale at a specific rate:
Click “Select period” and mark the required dates — a side menu will open.
In the “Rate status” item, toggle the switch to “Closed.”
Click “Save changes” — the rate status will update, and the cells in the rate line for the selected dates will turn red.
To completely close sales of a room:
Click “Select period” and mark the required dates — a side menu will open.
In the “Rate status” item, toggle the switch to “Closed.”
Click “Save changes” — the rate status for the entire room will update, and cells in the “Room status” line will turn red for the selected dates.
Important: Avoid closing a room by entering 0 in the “Rooms available” field. If a previously canceled booking increases availability, the room will automatically reopen for booking.
How to completely close sales of a property
Click “Select period” for any room name and select the date range.
In the side menu, select “All rooms” from the “Room categories” drop-down list.
Under “General status,” select “Close room for the whole period.”
Click “Save changes” — all room statuses for the selected dates will turn red, and bookings will be unavailable for this period.
