How to Add Check‑in Instructions for Guests

In the Emerging Travel Group Extranet, you can add check‑in instructions for the following types of properties:

  • apartment

  • flat

  • villa

  • bungalow

  • chalet

  • private house

  • castle

How to Add Check‑in Instructions

  1. Log in to the Extranet.

  2. Open the HotelInformation section.

  3. Scroll down to the Guest Information block and click Edit.

  4. Fill in the Check‑in Instructions field and specify the key collection method.

What to Include in the “Check‑in Instructions” Field

Add all important information that may help guests during check‑in, for example:

  • how to get to the property and find the entrance

  • how to receive the keys or the lock code

  • where to park the car

  • how and when to contact you to confirm the check‑in time (if needed)

The maximum text length is 500 symbols.

What Not to Include

Do not include:

  • information that changes with every booking, such as the lock code. Instructions must be universal, as they will appear in all reservations for the property

  • general descriptions of the apartment or house, lists of advantages, or promotional messages — guests who see these instructions have already chosen and booked your property

  • non‑text information, such as links. Instructions should provide essential answers for a smooth check‑in and avoid unnecessary actions

How to Specify the Key Collection Method

Choose the appropriate option from the drop‑down list in the How to get the keys field:

  • call the phone number

  • pick up at the specified address

  • smart lock (opens via app or code)

  • keypad lock

  • mini‑safe with a key

  • 24‑hour reception desk

Note: Please don’t include phone numbers in the instruction text — it isn’t secure, and the system won’t let you save changes.

If you need to share check-in contact details with guests, select “Call the number” in the “How to get keys” field.

The selected key collection method also helps guests understand whether contactless check‑in is available at your property.

What Guests See

In the mobile app, guests can view the check‑in instructions on the booking confirmation page. On the website, they can find this information in the voucher.
