How to set up prepayment
Updated over 3 months ago

In Extranet ETG, you can set up prepayment conditions for rates with the Agency (payment upon check-in) and Hybrid (payment upon check-in or online) models. You do not need to accept prepayment directly from guests — all payments are made through ETG.

How it works

  1. You set up the amount and terms of prepayment.

  2. Before and after making a booking, the guest receives notifications about the need to make a prepayment.

  3. You can track the status of the prepayment in your personal account.

  4. If the guest has not made the prepayment on time, you can cancel the booking yourself. To do this, click on the three dots next to the desired order and select “Cancel booking.”

  5. You do not need to contact the support service or the guest — the booking will be automatically canceled, and the guest will receive a cancellation notification with an explanation (prepayment not made).

  6. You receive the prepayment amount, minus the commission, in the billing period (the month following the guest’s departure). If the guest cancels a booking with a prepayment during the non-refundable period, we will transfer you the prepayment amount, minus the commission. (In this case, the commission is calculated from the prepayment amount, not the entire booking.)

How to set up a prepayment

  1. Go to the “Rooms and rates” section.

  2. If the rate has already been created, click on the three dots on the right-hand side, then select “Open rate.” If the required rate is not available, click “Create rate.”

  3. In the “Payment model” block, check the box in the “Pay on arrival” line, then select the “With deposit charged by the accommodation” option.

  4. Specify the conditions:

    • The amount of the prepayment — for example, the cost of one night or 15% of the booking cost. Please note: The prepayment cannot be lower than the commission of your property. If the indicated price (for example, the price of one night) is lower, the prepayment amount will automatically increase to match the commission.

    • The prepayment period — for example, within 3 days of booking. If the indicated period is longer than the number of days before arrival, the guest will be able to make the prepayment at any time.

Important: The minimum prepayment period is 1 day; the maximum is 365 days. If a guest arrives on December 10 of the following year, they cannot make a prepayment before December 10 of the current year.

5. If you are creating a new rate, specify the remaining conditions (detailed instructions here).

6. Click “Save” at the bottom of the page.
